Privacy Policy
1. Who we are
Max Cam Scanner is made by Max-Q Studio (“we”). Privacy questions can be sent to scanner.support@maxqstudio.dev.
2. Data that stays on your device
- Camera and photos. The camera is used only when you tap Scan. Gallery photos and PDF files are read only when you pick them.
- Scans, OCR results, annotations, watermarks, and signatures. All are stored in the app's storage on your phone. Text recognition (OCR) uses Google ML Kit running on the device, so images are not sent to a server to be read.
- Signatures you draw are stored as images on your phone. They are not certified electronic signatures.
Deleting a document or the app removes that data from the device.
3. Data we process when you sign in
You can use the app without an account. Shared workspaces require Google sign-in. If you sign in, we process:
- Account: your name, email address, profile photo, and user ID from Google, through Firebase Authentication.
- Workspaces: workspace name, member list with emails and roles (Owner, Editor, Viewer), and file metadata such as title, type, size, time, and uploader, stored in Cloud Firestore.
- Workspace files: PDF, DOC, and Excel files you save to a workspace, stored in Cloud Storage for Firebase and accessible only to that workspace's members.
- Invites: the email of the person you invite, the role offered, and the invite status. We send one invitation email to that address at your request.
- Collaboration: comments on workspace files, who was tagged (@mentions), signature requests and their status, and every saved version of a file (who saved it, when, an optional note, and a summary of what changed). Up to the last 10 versions of each file are kept.
- Synced settings: signatures you draw while signed in and the last watermark you used, so they are available on your other phones. Signatures are removed from a phone when you sign out of it.
- Notifications: in-app notifications about mentions and signature requests, and a Firebase Cloud Messaging installation ID per phone so we can send push notifications. You can turn push notifications off in your phone settings.
- Plan: Free or Pro status.
This data is processed by Google Firebase (Google LLC) as our service provider, in data centres in Jakarta, Indonesia (asia-southeast2), and may also be handled on servers outside your country.
4. Ads
The free version shows ads from Google AdMob: a banner, an ad when you open the app, and a rewarded ad before export. To show and measure ads, AdMob may collect your device's advertising ID, IP address, device information, and ad interactions. Where required, we ask for your consent first through Google's consent form. You can reset or opt out of ad personalisation in your device settings. Pro users see no ads. See how Google uses data.
5. AI features
The current version does not send documents to any AI service. If AI mode is released, this policy will be updated before the feature goes live, and documents will only be sent when you choose AI mode.
6. How we use data
- To run the features you choose: sign-in, workspaces, sharing, invites, comments, signature requests, version history, and notifications.
- To enforce roles and storage limits.
- To show ads in the free version.
- To keep the service secure and prevent abuse.
We do not sell your personal data and do not use the contents of your documents for advertising.
7. Sharing
Files in a workspace can be seen by all of its members. Beyond that, data is only shared with the service providers above (Google Firebase and Google AdMob), or when required by law.
8. Retention & deletion
- Workspace files and their versions are kept until an Owner or Co-owner deletes the file (which removes all its versions and comments), or the Owner deletes the workspace.
- Invites expire after 7 days.
- To delete your account and its data, follow the steps on Delete account & data.
9. Security
Data travels over encrypted connections (HTTPS). Workspace access is limited by security rules that check membership and role on every request. No system is 100% secure, so think twice before storing highly sensitive documents.
10. Children
The app is not intended for children under 13, and we do not knowingly collect their data.
11. Your rights
You can ask to access, correct, or delete your personal data under applicable law, including Indonesia's Personal Data Protection Law (Law No. 27 of 2022). Contact us at the email above.
12. Changes
If this policy changes, the effective date on this page is updated. For important changes, we also let you know in the app.
